Tokyo Gas Real Estate Co., Ltd. (hereinafter referred to as "the Company") considers the proper protection and handling of personal information to be the basis of its business activities and an important social responsibility.   1. Compliance with Laws and Regulations

    We will acquire personal information by appropriate means in order to carry out our business appropriately and smoothly.

      We conduct periodic self-inspections of the status of personal information handling, as well as audits by our auditing department.

      Regular training is provided to employees on points to keep in mind regarding the handling of personal information.
      Confidentiality regarding personal information is included in the employment regulations.

    • Physical Safety Control Measures

      In areas where personal information is handled, we control employee access to rooms and limit the equipment they may bring in, and we take measures to prevent unauthorized persons from viewing personal information.
      We take measures to prevent theft or loss of equipment, electronic media, and documents that handle personal information, as well as to ensure that personal information is not easily revealed when such equipment, electronic media, etc. are carried, including within the business site.

    • Technical Safety Control Measures

      Access control is implemented to limit the scope of persons in charge and the personal information database, etc. handled.
      We have put in place mechanisms to protect information systems that handle personal information from unauthorized external access or unauthorized software.

    • Understanding the External Environment

      We implement safety management measures based on our understanding of the systems for the protection of personal information in foreign countries where personal information is stored.

  4. Provision to Third Parties

    We will not provide personal information to third parties without the consent of the individual, except in cases where the provision of personal information to third parties is permitted by law, guidelines, or other regulations, or where the provision of personal information to third parties is not considered to fall under the category of a third party, such as consignment or joint use. When providing personal information to subcontractors, etc., we will select those who meet the necessary standards for the management of personal information, make arrangements for the protection of personal information, and supervise them appropriately.

  5. Disclosure of Personal Information

    When a person requests disclosure of his/her personal information, we will promptly respond to the request within a reasonable scope in accordance with laws, regulations, guidelines, etc., after confirming the person's identity.

  6. Correction, Addition, or Deletion of Personal Information

    If the content of personal information is not true, we will, at the request of the customer, conduct the necessary investigation without delay and, based on the results, correct, add to, or delete the personal information (hereinafter referred to as "correction, etc.").
    In principle, the person who can make a request for correction, etc. is the person himself/herself. However, a proxy authorized by the individual (voluntary representative) or a legal representative of a minor or an adult ward may make a request for correction, etc. of personal information on behalf of the individual.   7. Suspension of Use, Deletion, or Cessation of Provision to Third Parties of Personal Information

    In any of the following cases, we will stop using or delete personal information upon request from the customer to the extent required by laws and regulations.

    • If we handle personal information beyond the scope necessary to achieve the purpose of use of personal information
    • If we use personal information in a manner that may encourage or induce illegal or unjust acts
    • If we have acquired personal information through deception or other wrongful means, or if we
    • have acquired sensitive personal information without obtaining the prior consent of the individual to whom the information pertains
    • If we no longer need to use the personal information
    • If there is leakage, loss, damage, etc. subject to the obligation to report to the Personal Information

    Protection Commission If there is a risk of harm to the rights or legitimate interests of the person in question
    In addition, if we are providing personal information to a third party in violation of laws and regulations, or in cases (4) through (6) above, we will stop providing personal information to a third party upon request from the customer, to the extent required by laws and regulations.
    In the event that the Company ceases to use, erase, or ceases to provide to a third party (hereinafter referred to as "cease of use, etc."), the Company will notify the customer to that effect in any case.
